Using Your Fuel/EV Charge Card and Managing Expenses

The simplicity of a novated lease means that all your energy expenses, including fuel and/or charging are bundled into one payment. This article outlines how to purchase, manage and track fuel and/or the charging for your vehicle.
If your TFM contract includes a fuel card, you’ll receive a TFM Motorpass Fuel Card within 2-3 business days of settling your novated lease. The card is accepted at more than 90% of fuel stations across Australia including BP, Caltex, Shell, 7 Eleven, United, Ready Express, Mobil, Ampol and most independents.
This card lets you enjoy secure, cash-free refuelling with discounts of up to 5 cents off per litre at BP service stations and 1.5 cents off per litre at all other participating providers.*
To activate, just call the number on the card and follow the prompts to set up your PIN.
How to use your TFM Motorpass Fuel Card
Simply swipe your Motorpass card at payment and provide an odometer reading when requested (the closest 100km increment is fine). This assists us in providing accurate fuel and Fringe Benefit Tax (FBT) reporting.
If you need to refuel at a non-participating petrol station, or you forget your fuel card, it’s possible to submit a request for reimbursement. You just need to complete a Vehicle Expense Claim Form here and submit it along with your tax invoice(s).
If your Motorpass card is lost or stolen, please contact TFM on 1300 888 870 immediately to cancel your card, and TFM can issue you with a new one. You can also cancel and replace your fuel card through your Novated Online account.
For your security, we apply a daily and monthly spend limit to the card. Purchases are limited to the fuel type required for your vehicle and exclude all other items. You can view your limits and fuel products on your quote or cost to package documents.
If you’ve opted for a charge card, you’ll receive a TFM EV Charge Card within 7-10 days of settling your novated lease. We have partnered with Chargefox, Australia’s largest and fastest growing public EV charging network with stations available across metropolitan, regional and rural areas.
Your TFM EV Charge Card comes ready to go, there’s no pin or activation process necessary.
How to use your TFM EV Charge Card
Head to a Chargefox Charging location and tap your Chargefox Card on the card reader at the station. Plug your car in to the charger to begin charging. You can stop the session by tapping your card again.
Using Other Charging Providers
If you need to use a provider other than Charge Fox, please keep your receipt so that you can submit a claim to be reimbursed by TFM. Please note, that reimbursement requires submitting valid receipts. For more information on the reimbursement process for home charging, please refer to our Expense Reimbursement Process article.
How to track and manage your fuel/charging consumption
You can track your consumption in the Budget & Expenditure section of the TFM Novated Online Portal.
Each month, you’ll receive a fuel/charging budget as part of your novated lease payment. This is calculated based on the number of kilometres you estimated you’ll travel per year.
If your driving patterns change or the average budget estimated for services falls short, it’s important to adjust your lease. Just reach out to our team at novatedvariations@tfal.com.au and they'll guide you through the process by providing you with a variation quote. If you accept, we’ll notify your employer and update your lease deductions.
Lost or Stolen Chargefox card
If your Chargefox card has been lost or stolen, it’s important to take action as soon as possible to prevent any unauthorised use.
Please email novatedinfo@tfal.com.au immediately to report the issue and request a replacement card. Our team will assist you with cancelling the affected card and issuing a new one where required.
