How to book and pay for vehicle servicing

When you take out a novated lease with TFM, your vehicle servicing and maintenance may be included as part of your lease. This guide explains how to book a service, where to take your vehicle, and how payment works so you can help keep your vehicle in good condition. You are responsible for ensuring the vehicle is maintained to the manufacturer’s requirements to comply with the warranty conditions.

How to book a novated lease vehicle servicing
  • We recommend booking your service two weeks in advance to ensure you can secure a day and time that works for you.
  • When booking, let the service provider know that Toyota Fleet Management manages your servicing under a novated lease.
  • The service provider will then contact our Repair Authorisation Centre to obtain approval before starting work.

If your contract includes service and maintenance, please check your service and management budget through the Novated Online Portal or on your quarterly account statement to ensure you have sufficient funds. Contact us at novatedvariations@tfal.com.au if you need to adjust your lease budgets.

Courtesy transport

Many providers offer a concierge or courtesy drop-off service to central business locations, bus, or train stations. Ask about this when you book your service, if required.

When to service your novated lease vehicle

As a general rule, your vehicle’s manufacturer will provide guidance for you should service your vehicle. While you should refer to your vehicle manufacturers guidance, vehicle servicing is generally required:

  • Every 6 months, or
  • Every 10,000 km (whichever comes first).
Where to service your novated lease vehicle
  • We recommend booking your service with your vehicle’s brand service centre — for example, Toyota vehicles at Toyota service centres and Ford vehicles at Ford service centres — so your car is serviced by trained specialists and in line with the manufacturer’s service 
  • Alternatively, you can opt for a qualified independent mechanic outside the TFM network of service providers.Just make sure they follow the manufacturer’s service schedule and use appropriate parts and fluids.

Paying for vehicle servicing on your novated lease
  • If your contract includes servicing and you book with your Dealer service centre , you don’t need to pay them. The service centre invoices us directly.
  • If you use a qualified mechanical repairer outside the TFM's approved service network, you will need to pay upfront and then claim reimbursement from TFM. For details on how this works, see our guide on the Expense Reimbursement Process.

In between services

To help maintain your car and protect your warranty for the full term of your novated lease, we recommend:

  • Regularly checking tyre condition and pressure
  • Monitoring vehicle fluids and oils
  • Keeping your vehicle clean (avoid automatic car washes to preserve the paintwork)
  • Addressing any accidental damage immediately
  • Requesting that your service provider add antifreeze to your radiator prior to any travel to snowy regions
